Managing users in Pelico

  • How to add, activate, deactivate, edit, delete and restore a user, and how roles, teams and industrial site control what a user can do and see.

  • Some options may not appear depending on your organization’s Pelico configuration.

1. Adding a user

💡Only email, first name and last name are needed to create a user. Everything else can be set now or later.

Adding a user who signs in through Single Sign On

If your organization uses Single Sign On, you do not usually need to create these users by hand. Their Pelico account is created automatically the first time they sign in through your organization’s identity system, and they will not receive a Pelico password, since their password stays with your organization.

2. Activating a user

A newly created user is not active yet. Their row in User Management shows an Activate button instead of the enable, disable switch shown for active users.

Select Activate to activate a user. If no role has been set yet, you will be asked to choose one first.

For a user with a Pelico email and password, activating them also sends their setup email, so they can set their own password.


💡A user who has not been activated yet still appears in User Management, but you cannot edit their details inline until they are activated.

3. Deactivating a user

Once a user is activated, their row shows an enable, disable switch instead of the Activate button. Turning it off deactivates their account.

The user can no longer sign in. Their history is kept exactly as it was : comments, ticket assignments and other past activity stay attributed to them.


⚠️ You cannot deactivate your own account.

4. User roles

Roles decide which parts of Pelico a user can reach. They are set once for the whole account, not separately for each application.

A new user is created with a standard baseline role by default. Separately, one specific role is what actually grants access to User Management itself.


⚠️Role names are specific to your organization. Pelico does not impose a fixed list of role labels. The names you see in the assignment dropdown are configured for your organization, so they will not necessarily match those of another Pelico customer, and no generic list would be accurate for everyone.

To see the roles available to you, open the Roles field on any user in User Management. If a name there looks like a technical identifier rather than a readable label, its display name has not been configured; your Pelico administrator or Customer Operations Manager can set it.

Only roles marked as assignable appear in the dropdown, so the list you see is already limited to the roles you can actually grant.

5. Teams and industrial site

A user can belong to several Teams, and to one Industrial Site.

Teams and Industrial Site are not the same as the personal scope described in Personalize your Pelico workspace. Teams and Industrial Site set what a user is allowed to see. Personal scope is a filter inside that boundary : it can narrow what a user is looking at, but it can never widen it beyond what their Teams and Industrial Site allow.

6. Editing a user

Most fields can be edited directly from the user list : email, first name, last name, roles, teams, industrial site, and Access Control Groups if your organization uses them.


💡Changing a local user’s email marks it as unverified, and Pelico sends them a new verification email.

For a user who signs in through Single Sign On, their email is managed by your organization’s identity system. Editing it here does not change how they sign in.

7. Resetting a password

Select Reset Password on a user’s row. Pelico emails them a new setup link so they can set their own password. You cannot set a password for a user directly.

This only applies to users with a Pelico email and password. It is not the right action for a user who signs in through Single Sign On, since their password is managed by your organization.

8. Deleting and restoring a user

Select Delete to remove a user. Pelico shows a warning before you confirm.

A deleted user is not permanently gone straightaway. Their row is greyed out and marked Deleted, with a Recover action that restores them.

A separate, permanent removal is also available for cases where a user must be fully erased. Use it only when necessary, since it cannot be undone.

Whether a user is deleted or permanently removed, their past comments, ticket assignments and other activity stay in Pelico. Only a permanent removal also clears their name and email from that history.
